Job Description

Responsibilities:

As an Administrative Assistant, you will be responsible for a diverse range of tasks, mainly:

  1. Efficiently managing front desk operations.
  2. Setup and provide logistical support for meetings, appointments & video calls for Senior Management.
  3. Maintaining accurate attendance records for head office Admin staff, both manually and electronically, and providing weekly reports to department head.
  4. Handling incoming and outgoing mail and courier deliveries, ensuring timely distribution and maintaining detailed records.
  5. Providing administrative support to GMs and Directors.
  6. Liaise between Senior Management & Company employees.
  7. Manage projects and organize events as required.
  8. Supervise office maintenance & cleaning.
  9. Manage Company vehicle fleet. Oversee maintenance and insurance processes.
  10. Coordinate travel arrangements, including flights, accommodation, itineraries & visas for all Senior Management.
  11. Assist with document preparation & editing, information management and minute taking as required.
  12. Maintain generator & monitor fuel usage.
  13. All procurement related to office supplies, cleaning supplies, kitchen supplies etc.

Requirements & Skills

Qualifications:

To excel in this role, you should possess:

  1. Minimum of Bachelors preferred.
  2. 3-5 years of experience in same role, with proficiency in operating PABX systems.
  3. Experience in business-related travel arrangements and administrative support.
  4. Familiarity with utility agencies and correspondence with vendors.
  5. Knowledge of office security, maintenance, and vehicle insurance processes.
